How to DIY your own Press Office

Part of my job as a publicist involves running press offices at various events - from launches and conferences to gigs and festivals. Whatever the occasion, having a press office is brilliant for maximising PR opportunities and building relationships!

Here are some top tips:
 

๐Ÿ’ปPlan in Advance:

Research and invite relevant journalists, influencers, and content creators 

Organise pre-event PR activity to give journalists insights into the event's highlights.

Designate someone responsible for managing the press office - whether itโ€™s one of your team, or pull in a friend to help!

 

โ›บ๏ธSet up a space:

Choose a dedicated space with proper signage for the press area.

It could be a tent, a room, or just a corner! But try to ensure it has some essentials, like Wi-Fi, power outlets, snacks or drinks, and plenty of seating.
 

๐Ÿ“ƒProvide Press Materials:

Before your event, prepare your press kit containing information, a press release, and relevant background materials.

Include high-resolution images and multimedia content that journalists can use for their stories or socials

You might like printed materials available in the press office - such as booklets, posters, flyers, programmes, and timetables - or even goody bags, merch or freebies. 
 

๐ŸŽŸ๏ธIdentify your VIPs:

Issue media passes like special wristbands, stickers or lanyards for easy identification, access to particular areas or just so you can find them to say hello!

 

๐Ÿ‘‚Social Media Listening:

Keep an eye on your social media platforms for any mentions, or trending topics related to the event. You could also dedicate a hashtag to it to easily follow.

 

๐Ÿ™‹โ€โ™€๏ธFollow Up:

After the event, send out a thank-you email to attending journalists and provide links to relevant resources and materials.

Monitor media coverage and remember to share any lovely reviews of your event.
